Browsing the site
The site uses no analytics or advertising tools and does not load content from other sites. It only uses the cookies needed to log in and to keep forms secure. Like any web server, the hosting may record technical data about requests, such as the IP address, for security reasons and for a limited period. We count how many times each file is requested each day, without recording who requested it.
If you choose another language in the “Português · English” switch, the site keeps that choice in a language cookie, only to show you the pages in that language.
Teacher account
When you request an account, we keep your name, the email you log in with and, if you give one, a second email, your school (chosen from the list of schools or typed by you), the municipality, your role, the school levels, the subjects, how you plan to use Faíscas, your choice about news and the language in which you want to receive emails. The team records who decided on the request, when, and a short reason.
To stop automated sign-ups, the form asks your browser for a small calculation (ALTCHA), done on the site itself, with no third-party services and no cookies. We also count requests per IP address for a while, to limit repeated attempts.
What you record on the platform
Lesson notes. If you record a lesson, we keep the lesson, the date, the school year, the number of pupils present, the mode, how it went and what you would change. The last of these is your own text: the form asks you not to write pupils’ names, and the team removes any that appear. Notes stay in your account and are deleted with it. The team uses them, without identifying who wrote them, to understand what works in the lessons and for the project’s reports.
Saved lessons. The lessons you mark with “Save” stay in your account.
Declarations of use. If you issue a declaration, we keep a fixed copy of your name, role and school and of the lessons recorded in the period, and the PDF. Anyone who has the code printed on the declaration can confirm on the site the name, the school, the date of issue, the period and the number of lessons, and nothing else. If you revoke a declaration, we delete the copy and the PDF. Declarations are deleted with the account.
Reported problems. If you report a problem in a lesson, we keep what you wrote, the lesson, the file and the date, so we can fix it and reply to you. We delete the report 12 months after it is closed, or earlier, with the account.
Inviting colleagues. If you invite a colleague, we send them an email with your name and your school; if the colleague already has an account, we send them nothing and the address is deleted straight away. Of the colleague we keep only a fingerprint of the address (a code calculated from it, from which it cannot be recovered), to avoid repeated invitations, until 30 days after the invitation expires. The address itself is kept only in the message to be sent. If the colleague asks for an account with the invitation, the team sees who invited them.
Emails sent by the site. Each email, including the account emails (email confirmation, password recovery), is kept (recipient, subject and text) until 30 days after it is sent or after the last attempt, so that we can send it again if it fails. After that, only the type of message, the dates and the sending status remain.
What we use the data for and on what basis
- Reviewing the request, managing your account and giving access to the lessons, including the necessary emails (confirmation, decision, password recovery): to provide the service you ask for.
- Security of the site and counting the files requested: the legitimate interest of Associação TreeTree2 in protecting the site and in knowing which materials are wanted.
- Notes, saved lessons, declarations, reported problems and invitations: to provide the service you ask for when you use each of these features.
- Project reports: counts that do not identify teachers (accounts, schools, lessons recorded, pupils given in the notes, files requested); the legitimate interest of Associação TreeTree2 in reporting to those who fund the project.
- News: only if you ask for it; you can stop receiving it at any time.
If the request is not approved
We send you an email and delete the account and the data you gave us. Only the date and the reason for the decision are kept, with nothing that identifies you.
Where the data is kept
The site's data is kept on a server in the European Union (Germany). The site's emails are sent through Amazon SES, in a data centre in the United States; so your email address and the content of those emails pass through that service, with the safeguards that the General Data Protection Regulation provides for transfers outside the European Union. The backups are also kept in the European Union and are deleted after 30 days.
How long we keep it, and your rights
We keep the data while the account exists. An account with no logins for almost 2 years receives a warning by email and is deleted 30 days after the warning was sent, unless you log in in the meantime. You may ask at any time for a copy of your data, for it to be corrected or for the account to be deleted, or object to any processing, by writing to the contact above. If you consider that your data has not been handled properly, you may complain to the Portuguese data protection authority, the Comissão Nacional de Proteção de Dados (www.cnpd.pt).
